By booking a trip with us, you are deemed to have agreed to these booking conditions (Which constitutes the entire agreement between you and us. And your booking will be accepted by us on this basis. We require a 50% deposit of the total tour cost upon confirmation; Gorilla permit payment will be required in full. The balance is due to 60 days prior to the commencement of the tour. Escape Adventure tours reserves the right to cancel a reservation if payment is not received on schedule. In this event, cancellation fees will apply.

Cancellation penalties depends of the number of days written cancellation
Notice is received by escape adventure tours Ltd. Before tour departure penalties are:
(a) Before 38 days: 25% of the full amount.
(b) Between 29 days and 42 days: 45% of the full amount.
(c) Between 22 days and 33 days 60% of the full amount.
(d) Between 15 days and 23 days, 85% of the full amount.
(e) 14 days or less: 100% of the full amount.
(f) There is no refund of any un used portion of your tour.
(g) Gorilla permits are not refundable when already booked as this is the policy of Rwanda and Uganda wildlife Authorities.

- If the Company or its supplier(s) regard adverse weather conditions or other safely concerns as unacceptable and which can’t be reasonably be overcome.
- If the company reasonable believes that you may cause harm or damage to its reputation or to the reputation of its supplies or to property belonging to its suppliers.
- If a company supplier or suppliers is/are unable to host the event for any reason.
- If changes you wish to make to the booking mean. It is uneconomical or impractical to hold the event.

When requested accommodation is fully booked or otherwise unavailable, the company reserves the right to change the accommodation to an accommodation of the same standard in the same area. This change must be communicated to the client.

The company shall try to accommodate any reasonable changes the client wishes to make to the event. Alterations and amendment requests should be made with the company and not with end suppliers.
And such requests should be made in writing to the company by the group head. These changes shall not be deemed accepted until confirmed in writing by the company if the client wishes to increase or decrease the number of persons particularly in the event. This may be done up to six weeks prior to the date upon which your event is due to start without additional change. All amendments made after that date will incur an administration change of US$ 50 PP. The company cannot guarantee that the change to the price will be pro-rata, but will instead depend upon the arrangements the company is able to make with its supplies. Subject to the company’s written agreement, the client may transfer a booking to a person who satisfies all the conditions applicable

Fare increase may occur due to any increase in air line tariffs, fuel costs, game reserves fees, or fluctuation of the exchange rates. The company reserves the right to modify the fare and add a surcharge. Should any clients refuse to accept and pay such surcharge, the company reserves the right to cancel the tour and retain full payment.

The client as acknowledges that it is surely his/her responsibility to ensure that he/she is in possession of necessary travel documents that may be required in respect of the proposed tour and itinerary as well as all health and other certificates that may be required.

Clients who have special requests must specify such requests to the company in the booking form which the company will always endeavor to accommodate such request. It does not guarantee that it always be possible.

If one or more clients of a larger private group cancel a trip, they will be charged that part of the shared costs for that group trip, so that the rest of the group will not face any price increase. This amount is addition to the general cancellation fees (as listed in 2(i)).

The person (head of a group) who signifies his/her acceptance of a booking does so on behalf of persons under his/her authority, which means that all group members are equally bound by these terms and conditions.

10. Under 18′s Travelling Without Parents
Please note, under 18 year olds travelling without their parents or other adults, (including friends’ parents) will need to have written authority from their parents and translated where necessary, with both notarised. This is necessary for certain countries only and you should ensure that you check the specific requirements of the relevant country to which you are travelling, as you may be refused entry.

11. If You Have A Disability Or Medical Condition Which May Affect Your Holiday
If you have any medical condition or disability which may affect your holiday or any special requirements as a result of any medical condition or disability (including any which affect the booking process), please tell us before you confirm your booking so that we can assist you in considering the suitability of the arrangements and/or making the booking. In any event, you must give us full details in writing at the time of booking and whenever any significant change in the condition or disability occurs. You must also promptly advise us if any medical condition or disability which may affect your holiday develops after your booking has been confirmed.
Escape Adventure Tours Ltd complies fully with Regulation (EC) No 1107/2006 concerning the rights of disabled persons and persons with reduced mobility when travelling by air and is delighted to offer assistance to disabled persons or persons with reduced mobility provided that we are given full information about your specific requirements at the time of booking. Whilst we are happy to make a special request for you with the airline/s and accommodation concerned, please be aware that we cannot guarantee the provision of highloaders for embarking/dis-embarking the aircraft

12. Group Tours
Our holidays include group transfers from airports/hotels and vice versa unless otherwise stated on the appropriate pages or your documentation. A group transfer is generally a shared transfer and the type of vehicle used will normally be dependent upon the size of the group, with stops being made en-route to drop off/pick up other clients. The duration of your transfer will be dependent upon the individual arrangements required. Alternatively, in many destinations, we offer the choice of upgrading to your own private transfer at the appropriate cost. Please note some transfer arrangements may require reconfirmation locally.

13. Flight Delays
In the event of a flight being delayed, we will arrange for the following to be provided, whenever practical, and subject to the airport being able to cater for this:- over 4 hours, an appropriate meal, and for delays of at least 8 hours extending beyond midnight, overnight accommodation will be provided wherever possible. However, this will depend on such factors as the expected length of delay, local availability of accommodation, immigration rulings etc. Where long flight delays result in lost holiday time, no refunds are given by hotels for unused accommodation, as rooms are held for delayed arrivals, not re-let.

14. Personal Belongings and Lost Items
For security reasons valuables should be kept to a minimum and packed in your hand luggage along with your medicines, camera, film, electrical or battery-operated appliances, as well as basic essentials such as a change of clothing and toiletries. It can be easy to lose items but it is your responsibility to look after your property at all times and you must ensure you are adequately covered by comprehensive insurance. If you lose any personal items whilst on holiday, please obtain a written report from a local representative, or police, to help with.

15. Curtailment
If you cut short your holiday and return home early in circumstances where you have no reasonable cause for complaint about the standard of accommodation and services provided, we will not offer you any refund for the remainder of your holiday not completed, or assist with any associated costs you may incur. Depending on the circumstances, your travel insurance may offer cover for curtailment and we suggest that any claim is made directly with them

16. Volunteering Holidays
The volunteering element of your holiday involves working and, where applicable, staying in locations which tourists do not usually visit. These locations are often remote and the conditions for the people who live there are generally basic. Volunteering is not a conventional holiday activity and the organisations with whom we work do not provide services for tourists. Whilst we will endeavour to carry out certain health and safety checks on any accommodation you are intended to stay in, these checks will be limited. We do not carry out health and safety checks on the other elements of your volunteering experience as it is not practical for us to do so. We make no representations or promises as to the conditions you will encounter during your volunteering experience or that there will be compliance with any minimum standards of health, safety or hygiene. You must therefore exercise caution and take all appropriate steps to protect yourself against the risks involved.

17. Free child accommodation stays
Where we offer ‘free child accommodation stays’ at many of our hotels, these are generally based on sharing existing beds in the room. If you require a separate bed, you must advise us at the time of booking, as there may well be a charge added to your booking, or this charge may be payable locally. Any meal plan charges will still apply.

How to acquire an East Africa Tourist
Travelling to East Africa has just become easier. You are now able to obtain an East Africa Tourist Visa online prior to arrival to enable you enter the following countries:

If you are going to visit more than one of the above countries during on trip then you will eligible to apply for an East Africa Tourist Visa. This entry visa can be applied online as well using the website of the country where your trip will begin.

• Please ensure that you enter your e-mail address correctly as this will be used as the primary sources of contact between immigration department and the applicant.
• Please note that if you do not get a response from the immigration department within the stated allotted time do contact your travel agent for assistance.
• Please always check with your countries embassy first to check if you are required to apply for a visa to enter Uganda.
• Please note that you are still able to apply for a visa on arrival to all the above countries but this option is being phased out over the up coming months.
